IntelliHelper

Notes and tasks in one app, without building your own system

IntelliHelper keeps your notes and tasks in one workspace. Tasks come in list or board views with priorities and due dates. Notes are written in markdown. A calendar with in-app reminders and encrypted documents sit right beside them, and a built-in AI assistant that drafts tasks and notes is included on the free plan.

Why people want notes and tasks together

Most setups split the work across tools. Your to-do app is good at tasks but has nowhere real to write. Your notes app holds the thinking but can't tell you what's due. The calendar is a third place you forget to check.

So you copy things between apps, lose the note that explained a task, and spend time keeping the system alive instead of doing the work. One complaint that comes up in productivity forums is that all-in-one tools ask for too much setup, while simple to-do apps have no proper notes at all. What many people want is one place that works from the start.

What you get in one IntelliHelper workspace

Tasks

Track work in list or board views. Set status and priority, start and due dates, estimates and assignees, and keep a comment thread on the task so the context stays with it. Work without a project waits in the inbox until it has a home. Filter by today, upcoming or completed to plan the day.

Notes

Write markdown notes from a blank page, or ask the assistant for a draft. Pin the notes you reopen often, archive the ones you're done with, and attach a note to a project so it stays with that work. To share, invite viewers or editors by email without adding them to the whole workspace. Public view-only links exist only when you create them, with optional expiry.

Calendar and reminders

The workspace calendar has week and month views. Events carry a time range, timezone, location or link, notes, and workspace members as attendees. Attach a reminder and the calendar notifies you in-app.

Documents next to the work

Documents are encrypted in the workspace, and folders help you group them. You can preview PDFs and images in the app, beside the task or note they support. When you share, give view-only access to people you choose, add an optional download password, or create a public link with a view cap or expiry. View-only shares can't be downloaded. You can revoke or replace a public link.

Find anything

Search the workspace when you remember the idea, not the filename. The command palette opens notes, the calendar and more without hunting through menus. See all features.

AI that knows the workspace

The assistant drafts tasks and notes and summarizes what's open, in the same place as your work. It's included on a free account, so you don't need a provider key to start. Adding your own provider keys is optional.

A simple workflow (example)

  1. Drop an idea in the inbox.
  2. Promote it to a project once it has a home.
  3. Set a priority and a due date, and switch between list and board to plan the day.
  4. Write a note and attach it to the same project.
  5. Add a calendar event and attach a reminder so you get an in-app notification.
  6. Ask the assistant for a draft title, description or note, then edit the wording yourself.

Who it suits, and who it doesn't

IntelliHelper suits individuals, students and small teams who want tasks, notes, documents and a calendar in one workspace.

It's not for everyone:

  • If you need a fully custom database system that you design field by field, a dedicated tool may fit better.
  • If you want to take notes by hand with a stylus, a handwriting app may fit better.

Free plan and paid plans

Every account starts on Free, with tasks, notes, encrypted documents, calendar reminders, search and an included assistant. Bringing your own AI keys is optional.

There are also Pro and Team plans. Pro raises AI, storage and automation limits and adds file transforms. Team is for shared workspaces, with more members and higher limits. Self-serve plan changes are off for now. In the pricing page's words, they "stay off until payment handling is connected." If you need a different plan, contact support. Details are on the pricing page.

FAQ

What is the best app for notes, tasks and calendar?

Check a few things first. Can you search everything at once? Do notes sit with their work? Do reminders notify you? Is setup light, and is the free plan usable? IntelliHelper has workspace search, notes you can attach to a project, in-app calendar reminders, and a free plan with tasks, notes, documents, calendar and AI.

Can I attach notes to tasks or projects?

Yes, to projects. You can attach a note to a project so it stays with that work. Your tasks, documents and calendar sit in the same workspace, and you can pin the notes you reopen often. Search or the command palette brings any note back later. See Notes.

Is it free?

Yes. Every account starts on Free with tasks, notes, encrypted documents, calendar reminders, search and an included assistant. You don't need your own AI key to use the assistant. If you want your own models and limits later, adding your own provider keys is optional.

Can I keep notes and to-dos in the same app?

Yes. Tasks, notes, the calendar and documents all live in one IntelliHelper workspace.

Does IntelliHelper have a calendar?

Yes. It has week and month views, so you can scan the week or the month, jump to today or open a day agenda. Events carry a time range, timezone, location or link, and notes, with workspace members as attendees. Attach a reminder and the calendar notifies you in-app.

Do I need my own AI key?

No. AI is included on the free plan. Adding your own provider keys is optional.

Can I share a note without sharing my whole workspace?

Yes. Invite viewers or editors by email without adding them to the whole workspace, or create a view-only public link with an optional expiry. Public view-only links exist only when you create them, so a note stays inside your workspace until you decide to share it on purpose.
